Choosing attendance software in India — a practical checklist

Demos all look good. These questions separate software that fits Indian workplaces from software that merely has an attendance screen.

1. Does it understand your working week?

Six-day weeks, rotating shifts, evening shifts that run late, and night duty that crosses midnight. Ask to see a night shift in the monthly report — is it one day of 8 hours, or two broken days?

2. Holidays by state

A company with offices in Maharashtra and Karnataka has different holidays in each. You need per-office holiday calendars, not one list for everyone.

3. Leave types you actually use

Earned, casual, sick, unpaid (LOP) and comp-off. Check that requesting more leave than the balance is refused, and that unpaid leave reduces payable days.

4. Payroll exports

Payroll runs in Zoho Payroll, RazorpayX, Tally or a CA's spreadsheet. Ask for the export — and check a month by hand before you trust it.

5. Location without surveillance

If you need location, it should be read only when someone clocks in or out, and checked on the server. Constant tracking is rarely needed and damages trust.

6. Roles that match your organization

Managers, HR, team leads, faculty, supervisors — each needs a different view. Check that permissions are enforced by the server, not just hidden in the menu.

7. Your data

Where is it hosted, who can see it, and can you export everything? Look for an audit trail of changes, two-step sign-in, and each organization's data kept separate.
