The 75% attendance rule — how colleges should calculate it (with examples)

Most Indian universities require students to attend at least 75% of lectures to sit the exam. The rule sounds simple, but institutions calculate it in different ways — and students are often told they are "short" without being told what they can do about it.
What counts as a lecture
Only lectures that were actually held and recorded count. A lecture that was cancelled, or a period with no class, should not count against anyone. The percentage is:
attended ÷ lectures held × 100
If a student attended 34 of 50 lectures, their attendance is 68%.
How late arrivals count
Many colleges count a late arrival as present. Some count it as absent after a set number of minutes. Whatever your rule, write it down and apply it the same way for every class — students notice inconsistency long before anyone else does.
Medical and sports leave
There are two common approaches:
- Standard — approved leave still counts as absent; the student simply has a documented reason.
- Leave-exempt — lectures missed on approved medical or official-duty leave are removed from the total, so they neither help nor hurt.
With the leave-exempt approach, a student who attended 34 lectures, was absent for 10 and on approved medical leave for 6 has 34 ÷ 44 = 77.3%, not 68%.
Telling a student what it takes to recover
"You are short" is not useful. "Attend the next 14 lectures in a row and you will be eligible again by 14 October" is. The number comes from a simple calculation: find the smallest n where
(attended + n) ÷ (held + n) ≥ 0.75
For 34 of 50: after 14 more consecutive lectures, 48 ÷ 64 = 75%. Showing this to students early — not a week before exams — is what actually improves attendance.
Keep the record honest
Changes to attendance after it is submitted should need a reason and keep the original on file. Students and auditors are far more likely to accept a correction when they can see what was changed, by whom and why.
